How to Get Started for Free Today

Step 1: Sign Up

Go to the sign-up link at https://service.workspot.com/#/signupbrowser.

Fill in the blanks to start the enrollment process.

  • Corporate Email address:

    • Do not use a Gmail or similar domain in the “Corporate Email” field.

    • (Optional) If you would like to update your deployment to using a directory service (Active Directory or Entra ID), use an email address that is consistent with your corporate domain structure.

  • In the “Company Headquarters” field, select “European Union” if your company is in the EU, and “United States” otherwise.

  • Click “Sign Up.”

  • You will be sent a validation email within a few minutes.

  • In the email, click the “To continue setting up Workspot” link.

Note: Ignore the “Getting Started with Workspot” link in the email. You are reading the correct document right now.

Step 2: Fill out the Second Form

Clicking the link in the email will take you to another form. Fill it in:

  • You are the initial Workspot Administrator for the new deployment, using the email address you gave on the first form and the password on this form. These credentials will be used with Workspot Control and the Workspot Client.

  • The “Company Identifier” field is used to uniquely identify your Workspot deployment.

    • None of your users can sign in without it, so keep track of it.

    • Your email domain does not uniquely identify your Workspot deployment: a company can have multiple deployments with the same email domain and different Customer Identifiers.

    • Type in your choice of Company Identifier (typically the same as the unique part of your domain name).

    • Click the “Check Availability” button to ensure that it isn’t already in use. If it is, try something else.

  • After filling in the fields, read the Subscription Agreement and check the checkbox.

  • Click Register.

Once correctly completed you will receive a second email notification within a few minutes confirming that your deployment is ready.

Step 3: Sign into Workspot Control

When you receive the “Welcome” email:

  • Save a copy for future reference.

    • It contains the link for signing into Workspot Control.

    • The last element of the link is your Customer ID.

    • The email for support is given in the email.

  • Click the “You can access your subscription” link to sign into Workspot Control.

    • Use the email address and password you set in earlier steps.

Create Default Applications

  • You will see the “Welcome to Workspot!” page.

The “Express Setup” step on this page asks you to either:

  • Create all the default Workspot Web Applications by pressing the “Create” button.

  • Create no Workspot Web Applications by pressing the “Skip” button.

  • Recommendation: choose “Create.” The default list provides useful examples when adding your own Web Applications, and deleting the ones you don’t want is easy.

You will see the Workspot Control dashboard. For this Pilot Browser deployment, this page is populated with:

  • The yellow banner is a reminder about setting up AD/Entra ID directory services. Ignore this for now.

  • The links on the right of the page are for opening Support Tickets, visiting the documentation site, using Workspot Watch, and Using Workspot Trends.

  • Note the “Subscription End Date.” This is when your Pilot program ends.

  • Ignore any “Named User Licenses” and “Concurrent User Licenses” that may be listed. These do not apply to you.

Step 4. Install, Launch, and Sign In to the Workspot Client

  • Follow the procedure in https://www.workspot.com/support/client-download/. This will walk you through the installation and first-time use of the Workspot Client.

  • The Workspot Windows and Mac Clients are our flagship products.

  • The Workspot Web Browser is not supported on the Workspot Web Client.

  • Use the same credentials and Customer ID you used to sign into Workspot Control.

  • You will see the Workspot Client Dashboard with the Web Applications you created in Step 3.

  • Different users can have different Web Applications.

  • Clicking on an icon launches the Web Application in a new Workspot Browser window:

    • The user is asked to sign in according to the rules in place for that application and domain.

    • For example, signing into the Web version of Outlook using your corporate email address will invoke your corporate sign-in rules, as usual.

    • If successful, the Browser remembers your credentials.

  • Note that the Browser window lacks an address bar, a Settings icon, an Extensions icon, and so on, deliberately restricting the end-user’s options.

    • Some features can be added or removed in Workspot Control.

  • Otherwise the Web Application works as it does in any other browser.

Step 5. Add a New Web Application

  • In Workspot Control, go to “Resources > Applications.” This will display all the currently defined applications.

    • You can examine or edit an existing application by clicking on its name.

  • Click “Add Application” and define a new Web Application. We will use Wikipedia as an example.

  • As you can see, the definition of a Web Application is simple. The fields are:

    • Application Type: Web.

    • Application URL: The URL to use to reach the Web Application (https://www.wikipedia.org/).

    • Application Name: The name displayed in Control and on the Client (Wikipedia)

    • Route App traffic through VPN: If Wikipedia were only accessible through the Client’s built-in VPN support (which it isn’t), we would select “Yes.”

    • Application Icon: You can use the default icon, upload your own, or choose one from the built-in list.

    • Login Type: This is the type of login credentials the Client should use and remember. Most application use “Single Sign-on with User Name Only.”

    • Target Platforms: This is the list of Workspot Clients that are allowed to display this Application.

    • Bundles: Applications can be gathered together in “bundles,” with different users receiving different bundles. The “All Apps Bundle” cannot be deselected.

  • Click “Add Application” to create the Application.

  • After a brief delay or when the Client user presses “Refresh Configuration” (under the Client’s “Settings” menu), the new Application will appear on the Client.

Step 6. Add a User

  • In Workspot Control, go to “Users” This is the user management page.

    • You can see the status of an existing user by clicking on their First Name or Last Name.

  • Click “Add User” to add a user.

  • Fill in the form with the required information. The fields of note are:

    • Role: Generally “Administrator” for users who need full access to Workspot control and “End-User” for everyone else.

    • App Bundle: “Default App Bundle” is a good starting point for all users. You can change this later.

    • Apps, Cloud Desktop Pool: Ignore

  • Click “Add User” to create the user.

    • Control Administrators receive an invitation email automatically. End-users do not.

  • Optional: Click “Invite All New Users” to open a message in your default email program addressed to all users on this page.

    • (The button says “All NEW Users,” but it’s really all users.

    • Edit the recipient list and message text to taste and send. The recipients will be invited to use Workspot.

  • Users can sign in without an invitation.

    • Control Admins can sign into both Workspot Control and the Workspot Client as described above.

    • End-users can sign into the Workspot Client only.
